What it is:
The Mobilisations Calendar is used to manage face-to-face induction sessions required for mobilisation. With the latest enhancement, users can now attach documents and assign skills to sessions, making attendance tracking and skill assignment automatic upon marking an employee as attended.
Why it matters:
This feature eliminates the need to manually submit attendance registers to Damstra, allowing worksites to self-manage mobilisation records and reduce administrative overhead.
Key points:
1. Permission setup
To enable this feature:
- Go to System Settings → User Login Accounts
- Select the user and open the User Login Details tab
- Navigate to Permissions & Access → Workforce Management
- Under Mobilisation Calendar, tick Create/Edit Sessions
- Optionally, enable Add organisation-wide qualifications to sessions
Disclaimer:
Users with custom permission can enable this for others at the same or lower access level.
2. Scheduling a session
When creating a new session in the Mobilisations Calendar:
- Users can add skills to the session
- Once employees are marked as attended, the skill is automatically added to their profile
Selectable skill types:
- Worksite Skills
- Communication Skills
- Organisation-wide Qualifications
Note: Skills linked to Damstra Learning lessons, restricted, parent, or payment skills are excluded.
3. Editing a session
When editing a session:
- Users can add skills and attachments
- Once an employee is marked as attended:
- Skills and attachments are locked
- The session cannot be cancelled
4. Adding skills and attachments
To add a skill and attachment:
- Go to Workforce Management → Mobilisations Calendar
- Select the session and open the Details tab
- Scroll to the Skills section and click Add Skill
- Choose a skill from the dropdown
- Upload the relevant attachment
- Click Add to confirm or Cancel to discard
- Repeat to add more skills
- Use the Delete or X buttons to remove skills or attachments
You can upload multiple documents per skill.
5. Marking attendance
When an employee is marked as attended:
- Their mobilisation becomes active (if all requirements are met)
- Assigned skills and attachments are added to their profile
- Skill editing and session cancellation are disabled
6. Attended employees
Employees marked as attended will:
- Have an active mobilisation
- Receive skill records and attachments from the session
- Display a skill icon indicating automatic assignment
