Managing user feedback

Users who want to learn to manage user feedback.
No elevated permissions are required.
This article explains how to set up the feedback feature and manage incoming submissions.
1. Introduction
Ideagen Safety allows anyone in your organisation to provide feedback on Health and Safety performance, policies, or procedures through the Notify app or a Web Portal.
2. Adding feedback categories
To enable the Feedback feature, start by creating the categories users will choose when submitting feedback.
Go to Settings (click the Profile icon at the top of the screen).
Expand Governance.
Click Feedback Category to open the categories register.
Click Add to create a new category.
Enter the category name and click Save.
Repeat until all required categories are added.
3. VForms portals
Next, make sure the Feedback feature is enabled in the places where it’s needed.
This is managed through VForms Portals settings by:
Ensuring the Report Feedback option is ticked.
Entering an appropriate description for each portal where feedback should be available.

4. Submitting feedback
After enabling the feature and setting up categories, the Feedback option (with all the categories you created) will now be available for users to submit their feedback.
5. Feedback register
To access and manage received feedback, open the Feedback Register under the Governance section in the menu bar.
The register displays all submitted feedback with a summary of each entry.
To view the full details and take action:
Click Actions.
Select Edit to open the feedback item.
6. Evaluating feedback
When reviewing a feedback item:
Read through the details carefully.
If action is required, assign a status:
Not Started
Underway
Completed
Add any relevant remarks.
Record the details of any required Corrective Actions.
Note: Further help with managing Corrective Actions in Vault is available in the Support Portal.
The responsible person should keep both the Corrective Action progress and the overall feedback status updated until completion.
7. Automatic escalations
Automatic escalations can be enabled for Feedback. This instantly alerts the responsible person whenever new feedback is received.
