How to pre-register a visitor
Who is this article for?Front desk staff and hosts who need to pre-register visitors before they arrive onsite.
THIS access to the visitor management dashboard and THESE permissions to register guests are required.
This article explains how to use the pre-registration form to register visitors in advance, ensuring a smooth check-in experience.
Steps
Step 1: Open the pre-registration form
Select the Pre-Register tile from the dashboard to open the visitor registration form.
Step 2: Fill out visitor details
Complete the following fields:
- Company: Enter the name of the visitor’s company.
- Full Name: Provide the visitor’s full name.

Visitor Type: Choose from Visitor, Contractor, Staff, or VIP.
Note: VIPs skip induction content and photo capture during sign-in. - Phone: Enter the visitor’s phone number with country code.

Email: Provide a valid email address.
Note: This is where the badge and induction content will be sent. - Visit Date & Time: Specify the expected arrival time.
- Host: Select the host responsible for the visitor.
Step 3: Bulk register (optional)
To register multiple visitors at once, use the Bulk Register option.
Step 4: Submit the registration
Once all fields are completed, click Register to finalize the pre-registration.
Tips
- Double-check email addresses to avoid delivery issues.
- Use Bulk Register for events or group visits to save time.
- Select VIP only when induction and photo capture are unnecessary.
