Transferring an employee profile
Who is this article for?
Administrators who need to transfer an employee profile from one company to another.
No elevated permissions are required.
This article explains how administrators can transfer an existing employee profile to their company using the permission request process.
1. Start a mobilisation request
- Log in and navigate to the manage your company portal section.
- Select Workforce Management.
- Select Mobilise new employee.
- Select the mobilisation type.
- Select New employee for your company.
- Complete the worksite and mobilisation details.
- Select Next.
- Enter the employee details.
- Enter the full name.
- Enter the date of birth.
- Enter the email address.
- The system will automatically check whether the employee already exists. If a match is found, you will be given the option to request permission to transfer the employee to your company.
- Send the permission request.
- Verify the employee’s email address.
- Select Send request.
- An email will be sent to the employee for approval.
- Once approved, the employee will be transferred to your company.
- To resend the email, select Request permission again.
2. Manage incomplete requests
- Understand how incomplete requests behave.
- Any request started but not completed is automatically saved in the Active mobilisation request section under Yet to send for verification.
- Resume an incomplete request.
- Select Resume to open the request.
3. Manage requests not yet actioned by the employee
- Review the request status.
- Only the employee details tab will be visible until the employee responds.
- Resend the permission request.
- Select Permission request to send a new approval email.
4. Manage approved requests
- Review approval notifications.
- An email is sent to administrators when the employee approves the request.
- Continue the mobilisation.
- Select Resume mobilisation request, or
- Select Resume from the Yet to send for verification section.
- Complete all mandatory fields following the existing employee process.
- Select Send for verification.
5. Manage declined requests
- Understand what happens when a request is declined.
- If the employee declines, an email is sent to administrators.
- The mobilisation request is automatically cancelled.
- View cancelled requests.
- Go to Workforce Management → Active mobilisation requests → Cancelled.
- The cancelled request will display a message indicating the employee declined.
6. Manage requests forwarded to employees
- Understand forwarded sections.
- If sections were forwarded to the employee, they will receive an email to complete them.
- Track progress.
- Select Mobilisations requiring attention on the home page.
- Select Yet to send for verification.
- Finalise the mobilisation.
- Select Resume once the employee completes all sections.
- Complete any remaining sections.
- Select Send for verification.
7. FAQs
7.1. Do I need to fill out any forms?
No. The new process removes the need for manual form submission.
7.2. What happens if the employee does not approve the request?
The transfer will not proceed until the employee approves via email.
7.3. Can I resend the permission email?
Yes. Select Request permission again to resend the email.
