Managing pending Events in Ideagen Safety
This article outlines the procedure for managing an event from a Pending status to an Active status within Ideagen Safety.
Pending is a temporary “holding status” applied to all events—both work-related and non-work-related—logged via the Web Portal or the Notify App. This also includes events entered directly into Ideagen Safety but not fully managed at the time of entry. These events must be reviewed and updated before they can be assigned within the Active Events Register.

⏳ Manage Pending Event
A Pending Event refers to any event that has been submitted through the Web Portal or the Notify App but has not yet been processed into the Active Events Register.
In addition, events entered directly into Ideagen Safety may also remain in a Pending state if they are not fully managed at the time of entry.

All Pending Events are stored in either the Events Register, or the Non-Work-Related Events Register, both of which are accessible from the menu under the Risk section in Ideagen Safety.
🔍 Manage Pending Event
Locating Pending Events can be done in several ways.
The most effective method is to use a custom filter by adjusting the filter parameters to display only events with a Pending status and the required Statuses and Event Types.
This process is often referred to as "Locate Event via My Filter".

Any custom filter you create can be named and saved to My Filters for quick access in the future.
This allows you to easily locate Pending Events without reapplying filter criteria each time.

If you have the Event ID number, you can search for the event directly using the Event ID Search function.
This is a quick method to locate a specific event without using filters or browsing the registers.
✏️ Manage Pending Event – Edit
Once the required event has been identified, you can access edit mode to begin managing it.
You have two options to open the event:
Select Edit from the Actions dropdown
ORClick the event’s ID number
📝 Note: If you choose to click the ID number, you’ll still need to select Edit from the Actions dropdown within the event view before making any changes.

Once in edit mode, complete all mandatory fields found within the Event Tabs by working through them step-by-step.
📝 Note: If the event has been loaded into the incorrect register, you can easily convert it to a Non-Work-Related Event by clicking “Convert to” and selecting the appropriate option.
Use this opportunity to check, update, or add any relevant information to ensure the event is accurately recorded.

Ensure all information provided is accurate and up to date.
Make any necessary updates to correct or clarify details.
Also, add any additional information that may have been omitted during the initial entry.
💾 Manage Pending Event – Save to Active
Once all required information has been checked, updated, or added, you can move the event from Pending to Active.
Verify that the Status in the Event Details tab is set correctly according to your company procedures.
Click Save to Events to complete the process and transfer the event to the Active Events register.
✅ Manage Pending Event – Active Event
The event has now been successfully moved to the Active Events register, where it is ready for further management actions or reporting.
