Changes to fee and expiry email notifications
Classification: Minor/enhancement, driven by updates to the worker expiry digest and a new worker-facing expiry reminder. No customer action required.

1. Company fee payment reminders (already live)
Who gets it: company admins
When: automatically, 30 days, 14 days and 1 day before a worker's fee payment is due
What it contains: a count of workers with fees expiring at that specific interval, and a "Pay fees now" button
This notification isn't changing. It's included here for context, since it works alongside the two changes below.
2. Worker skills and fees digest — for company admins (from 2 September 2026)
Who gets it: company admins
When: twice a month, on the 1st and the 15th (previously once a month, on the 1st)
What's new: each digest now breaks expiring skills and fees down into four windows — 1 day, 14 days, 30 days and 90 days — all in one email, instead of a single 90-day total
Sending twice a month means expiring records surface sooner, without adding extra one-off alerts on top of this notification.
Counts reflect a point in time and may change before you log in. The email links directly to Workforce Safety so you can check the latest position at any time.
3. Worker skills and fees reminders — for workers (from 7 September 2026)
Who gets it: individual workers
When: three stages per expiring skill or fee:
- 30 days before expiry — an initial reminder
- On the day of expiry — a follow-up notice
- Weekly after that — a recurring reminder for as long as the record stays unresolved and the worker has an active job title or mobilisation. Weekly reminders stop automatically once both are removed.
This is a new notification — workers haven't previously received a proactive email about their own expiring records.
Opting out: workers can turn these notifications off at any time from Employee portal → Settings → Notifications.
Frequently asked questions
Why is this changing?
To give company admins and workers earlier visibility into expiring skills and fees, without increasing email volume beyond one extra send a month.
Will admins get more emails than before?
One extra email a month — the digest moves from monthly to twice-monthly — with no new one-off alerts added on top of it. The existing fee payment reminders (30/14/1 day) continue on their own schedule and aren't affected.
How often will workers be reminded?
30 days before a skill or fee expires, again on the day it expires, then weekly for as long as it stays unresolved and the worker has an active job title or mobilisation. Weekly reminders stop automatically once both are removed.
Can workers opt out?
Yes, at any time, from Employee portal → Settings → Notifications.
What if the counts in the email look out of date?
They reflect the position at the time the digest was generated. Log in to Workforce Safety for the current status.
